Desired Previous Job Experience:

 

 Bachelor’s degree in English, Communications, Journalism, or a related field

  14. 3 to 5 years of prior experience providing excellent customer service and front desk support.

 

Position Summary

Responsibilities may include, but are not limited to receiving visitors, screening/directing phone calls, assisting with new hire paperwork and assisting candidates that are filling out paperwork or reporting for observation.

May assist in distributing correspondence, filing, arranging conference calls, scheduling meetings, ordering supplies, tracking supply inventory, managing information requests, and assisting in the coordination of event planning. Computer skills required. Also calls for flexibility, excellent interpersonal skills, multi-tasking, project coordination experience, and the ability to work and communicate well with all levels of internal management and staff, as well as outside clients, vendors, and donors. Some evening and weekend hours are required on occasion. work schedule is typically 9 to 5, Monday through Friday.

 

Essential Job Functions

  1. Works under general direction of the Administrative Assistant to the CEO.
  2. Greets visitors, directs them to the appropriate location or contacts the associate they are meeting.
  3. Manage all daily front office activities, including (but not limited to) answering calls, redirecting them to the correct extension, sorting mail, ordering office supplies, providing hospitality to guests, and assisting team members in interfacing with the facilities team. (75%)
  4. May serve as an assistant to supervisors assisting with internal communications (10%)
  5. Respond efficiently and effectively to requests made by the management team and inform the respective team member when the request(s) have been completed.
  6. Must be a self-starter with excellent time management skills. The coordination of routine matters, meetings, and various other assignments will be delegated to the assistant with minimal direction. Planning and anticipation of needs are critical responsibilities.
  7. Assisting candidates and/or newly hired employees when interviewing, filling out new hire paperwork, completing their drug screen and other related tasks. ensures that the new hire paperwork is filled out completely and correctly, that all forms are signed and dated, and that contact information is legible. 15%)
  8. Attention to detail and excellent communication are critical. The assistant is expected to edit accurate, written, and electronic correspondence that is free of spelling, grammatical, and formatting errors.
  9. Position has access to highly confidential and sensitive information. Protection of this information is a requirement of the position.
  10. Prepare and maintain basic reports, send out internal communications, and coordinate meetings as requested by the supervisory team.
  11. Must become quickly familiar with agency policies and procedures, the various agency stakeholders, and reporting relationships.
  12. Must be able to perform the essential functions of this position with or without reasonable accommodation.
